Registration

Q. How do I register for the Seminar?
A. Registration is currently open. Attendees are be able to register online and via check.  You can register for the conference by doing the following:

  • Online registration using a credit card is strongly encouraged. Visa, MasterCard and American Express are accepted. Online registration requires a login. Your login is your email address and your password.
  • You will automatically receive an email confirmation once your registration has been successfully submitted.
  • You may register online if you wish to pay your registration via check. Select the “pay by check” option at the bottom of the form. Checks & Money Orders must be in U.S Dollars, drawn on a U.S bank, and payable to NCMS.
  • Check payment can be mailed to: NCMS, 994 Old Eagle School Rd, Ste. 1019, Wayne, PA, 19087

Q. Do you accept registration via fax or phone?
A. No, registration is not accepted by fax or phone.

Q. When is the early bird deadline?
A. The early bird deadline is Thursday, May 9, 2025 at 5:00 PM ET.

Q. What is the Tax Identification Number for NCMS?
A. The Tax Identification Number for NCMS is 23-7071476. The DUNS number is 058015566.

Q. What are the registration fees?
A. To attend at member rates, 2025 dues must be paid in full. The early bird registration deadline is May 9, 2025.

Full registration fees include all seminar sessions, the Welcome Reception, breakfasts, luncheons, and breaks. Fees are as follows:

Member Rate, Full Registration – early (on or before 5/9/25):$875
Member Rate, Full Registration – late (after 5/9/25):$975
Non-member Rate, Full Registration – early (on or before 5/9/25):$1100
Non-member Rate, Full Registration – late (after 5/9/25):$1200

Single Day Registration fees include breakfast and lunch for that day but any evening functions are an additional cost. There is no early registration discount for single-day registration. Rates are available as follows:

Member Rate, Single Day – early (one or before 5/9/25):$325/day
Member Rate, Single Day – late (after 5/9/25):$375/day
Non-member Rate, Single Day – early (on or before 5/9/25):$400/day
Non-member Rate, Single Day – late (after 5/20/25):$450/day

Q. Do I need to purchase meal tickets for myself and/or my guests?
A. You do NOT need to purchase meal tickets for yourself if you have purchased a full (three-day) registration. Breakfast and Lunch on Tuesday, Wednesday, and Thursday, as well as the President’s Welcome Reception on Monday are all included in your fee.

If you are only attending one or two days, you do NOT need to purchase meal tickets for yourself for the day(s) you have registered. Breakfast and Lunch on the registered day(s) are included in your registration fee.

If you wish to bring a guest to any meal or reception functions, you will need to purchase a ticket in advance or at the registration desk during the Seminar. Ticket prices are as follows:

Monday President’s Welcome Reception:$80

Thursday Lunch:$60

Q. What is the cancellation policy?
A. To receive a full refund, you must notify NCMS in writing and postmark, email, or fax no later than midnight, Monday, May 5, 2025 (PT). Direct your communication to Sue Morris, NCMS, 994 Old Eagle School Rd, Ste. 1019, Wayne, PA, 19087; Fax: 610-971-4859; Email: sue@mmco1.com. You are responsible for verifying receipt of your cancellation request; if we do not receive it by the deadline, you will NOT receive a refund. All refunds will be processed after the conclusion of the seminar. There are NO refunds for any cancellations received after midnight Monday, May 5, 2025 (PT).

Q: What is the theme of the Seminar?
A: The theme for our 61st Annual Training Seminar is “Guardians of the Gateway: Securing Tomorrow Today!.”

Q: When is the Seminar?
A: The Seminar is June 10 – 12, 2025.

Q: Where is the Seminar being held?
A: The Seminar will be held at the Gaylord Palms located at 6000 W Osceola Pkwy, Kissimmee, FL 34746.

Q: What’s included in my Seminar fee?
A. Full registration fees include all seminar sessions, breakfasts, luncheons and the President’s Welcome Reception. The single-day registration fees includes breakfast and lunch for that day, but any evening functions are an additional cost. There is no early registration discount for single-day registration.

Q: Can I pay for my registration onsite?
A: Yes, you can pay for registration onsite, but we highly encourage attendees to pay for registration in advance. Please note: The Annual Training Seminar and Gaylord Palms are cashless. Any payments made onsite for payments to NCMS or the hotel must be made through a credit card.

Q. Will NCMS offer Wi-Fi to the attendees?
A.  There will be complimentary basic Wi-Fi in the guest rooms and meeting space during the Seminar. The network name and password will be available in June 2025.

Q. What Is the Suggested Dress for The Seminar?
A. Recommended dress for the Seminar (general sessions and workshops) is business casual (collared shirts and slacks for men; slacks and tops/casual dresses/skirts for ladies). NCMS is also offering a professional headshot lounge again this year, so if you want a professional photo, make sure you pack accordingly!
Please note: It is difficult to regulate the temperature in hotel conference rooms so that it is comfortable for everyone. Please bring a jacket or sweater to Seminar functions that can be worn when needed.

Q. How do I apply to become a presenter at the Seminar?
A. The call for presentations is closed. Speaker applications for the 62nd Annual Training Seminar will be available on the NCMS website in August 2025.

Q: Will there be any pre-conference classes?
A. NCMS is offering 3 additional classes prior to the conference on Monday, June 9, 2025. Click here for details.

Q: How many CEU’s are offered by attending the Seminar?
A: TBD

Travel & Hotel Accommodations

Q: What airport services Orlando?
A: Orlando International Airport (MCO) is about 17 miles from the Gaylord Palms. The average travel time between the airport and the hotel is approximately 17 minutes.

Q: What are my options for ground transportation?
A: Please visit the airport’s website to get information on ground transportation.

Q: Where is the host hotel, what is the rate and how do I reserve a room?

Q. Is the group rate available outside the Seminar dates?
A. Yes. Attendee group rate will be extended for attendees 3 days pre/post the Seminar- subject to availability.

Q: What is the cut-off to reserve a room at the hotel group rate?
A: The cut-off date at the Gaylord Opryland was Monday, May 16, 2025. The group rate will be honored through the date above or until the block of rooms has sold out, whichever comes first. We strongly encourage to secure your reservation as early as possible to guarantee rate availability and your preferred room type.

Q. When does the Seminar begin and end?
A. The Seminar officially starts at approximately 7:00 AM on Tuesday, June 10, 2025.
The conference ends at approximately 5:00 PM EST on Thursday, June 12, 2025.

Q. When should I arrive if I am attending a Monday course?
A. We strongly recommend that attendees arrive by Sunday, June 8, 2025.

Q. When is Check-in/out?
A. Check-in time at the Gaylord Palms is 4:00 pm and check-out time is 11:00 am. Guests arriving before check-in time will be accommodated as rooms become available. The Bell Captain can arrange to check your baggage until your room is ready if you arrive early.

Q. What is the cost of parking?
A. The cost of parking is $38 plus tax per night. As an NCMS attendee, you will receive a 25% discount off this rate. Please note this rate is subject to change.

Q. How do I obtain the discount if I am staying at the hotel?

A. Yes, NCMS has negotiated a discounted $30 resort fee for all attendees.

Q. What is the hotel protocol in case of an emergency:
A. In case of emergencies please follow the illuminated exit signs to evacuate the area. The Gaylord Palm’s emergency notification system will provide further guidance if needed. In case of emergencies, reports of suspicious activity, or any assistance needed from Safety & Security please call the Gaylord Palms Security Dispatch line.
